Use Wealthbox's AI to Auto-Log Your Client Meeting Notes

Tool:Wealthbox CRM
AI Feature:AI Meeting Notes Integration
Time:10-15 minutes to set up
Difficulty:Beginner

What This Does

Wealthbox connects with AI meeting note tools (like Jump) to automatically populate your client records with structured notes and action items after every meeting — no manual CRM entry required.

Before You Start

  • You have a Wealthbox account (any paid plan)
  • You have a Jump account (or Zocks — both integrate with Wealthbox)
  • You're logged into both platforms
  • Your client meetings happen via Zoom, Microsoft Teams, or Google Meet (required for AI meeting tools to join)

Steps

1. Connect Jump to Wealthbox

Log into your Jump account at jump.ai. Navigate to Settings → Integrations. Find Wealthbox in the CRM integration list and click Connect. You'll be redirected to Wealthbox to authorize access. Click Allow. You'll return to Jump with the integration showing as Active.

2. Configure how notes sync

In Jump settings, under Wealthbox Integration, you'll see options: "Sync meeting notes to client record" and "Create tasks from action items." Enable both. Set the sync timing to "immediately after meeting ends" (vs. waiting for your review — you can review after sync if you prefer).

3. Test with a meeting

Schedule a test meeting via Zoom with yourself or a colleague. In Jump, click New Meeting and add the Zoom link. After the meeting ends, give Jump 2-3 minutes to process. Open the client record in Wealthbox. You'll see a new Note with the meeting date as the subject, containing: meeting summary, key discussion points, and a list of action items.

4. Review and approve the note

Click on the auto-generated note. Read through the summary — Jump is accurate on topics discussed and decisions made, though it may miss nuanced emotional details or things said casually at the end. Add any handwritten notes or corrections. Click Save. The action items should have auto-populated as Tasks in Wealthbox, assigned to you.

Real Example

Scenario: You just finished a 60-minute annual review with the Martinez family via Zoom. Jump joined as a silent participant.

What you do: After the call, open Wealthbox. The Martinez record already shows a note titled "Meeting Notes — March 19, 2026" with this content:

  • Summary: Reviewed portfolio performance (+11.4% YTD), discussed potential Roth conversion before year-end, client mentioned daughter starting college in August.
  • Decisions: Will explore Roth conversion; advisor to run analysis by April 15.
  • Action items: [You] Send Roth conversion analysis by April 15. [Client] Confirm daughter's financial aid package when available.

What you do next: Review in 2 minutes, add one line ("Client expressed concern about recent market news — reassured with long-term perspective"), and click Save.

Tips

  • For phone calls or in-person meetings, use Jump's mobile app or manual note feature to capture key points verbally right after the meeting ends — then use the Level 1 transcription prompt to format them.
  • Wealthbox's built-in AI (independent of Jump) can summarize existing notes — look for the AI Summary button on contact records if you're on a higher-tier plan.
  • Review notes within 24 hours while your memory is fresh — the AI catches 90% of what matters but you'll want to catch the 10% that requires your judgment.

Tool interfaces change — if a button has moved, look for similar AI/integration/connect options in the same settings area.
